Job Description

This role will ideally suit a positive, hard-working individual who is able to develop strong working relationships with stakeholders across the business and has a strong business acumen with highly effective communication skills.

  • Extensive diary management for the Senior Management Team, ensuring that key meetings are planned and scheduled with good notice and clear agenda set which at times may be highly confidential and sensitive nature, priorities incoming communications, email management as required, within a global operations over multiple time zone considerations.
  • Organizes and gathers information from various departments and meetings and reports that information, along with recommendations, to executive members
  • Coordinates key operational and strategic project communications and requests (ranging from business continuity planning, internal communications) across the team of executives and leaders including tracking issues and timeline dependencies.
  • Provides high quality executive summaries to senior individual(s) including the organization of presentations and the analysis and interpretation of information/data
  • Serve as liaison between staff, executives, senior leaders, and local CEO, regarding organizational changes, employee well-being, project updates, proposals, and planning. Serve as point of contact for handling inquiries from other internal functions and developing action plans to address them, and assisting with the preparation and dissemination of communications
  • Actively seeks to improve current processes and coordinate organizational procedures for optimized efficiency
  • Acts as deputy in scheduled meetings including hiring updates, travel and overhead cost management, Town Hall preparations and asks from Chief of Staffs.

Required Knowledge, Skills, and Abilities
  • Integrity & discretion - handle highly confidential information with complete discretion at all times
  • Proven experience supporting business leaders in a virtual or hybrid work environment
  • Strong working knowledge and advanced skills in MS Outlook, Excel & PowerPoint
  • Experience supporting multiple leaders within a fast - pace large, matrix corporate environment
  • Experience working with people at all levels with highly effective written and oral communication skills
  • Exemplary planning, time management and prioritization skills, possessing excellent judgment and decision making abilities
  • Ability to manage multiple tasks/projects and deadlines simultaneously with attention to detail with a sense of urgency
  • Business Diploma level education or equivalent experience
  • Experience supporting diverse teams in multiple global locations
  • Strong project reporting skills, with a focus on interdepartmental communication
  • Business Degree level education
