Job Description

This is an exciting opportunity for an experienced and highly organized individual to work in a fast paced and dynamic environment and provide comprehensive support to the CEO.

  • Extensive and complex calendar and diary management including coordinating schedules and meetings ensuring the calendar and diary are prioritized according to changing demands.
  • Liaise with company travel agent to book travel, hotel and transport and create itineraries.
  • Provide high level business support to the CEO, including preparing Board papers, agendas, briefing packs, formatting internal and external communications, presentations and other documents. Ensure follow-up actions are progressed.
  • Assist those who report directly to the CEO, including the senior leadership team
  • Coordinate, attend and take minutes for any relevant meetings as required.
  • Manage sensitive matters as required with a high level of confidentiality and discretion.
  • Manage ad hoc projects on behalf of the CEO.
  • Assist and support of the Finance Team with team events, administrative tasks and ad-hoc requests.
  • Prepare and submit monthly credit card expenses.

You will be keen to work in a fast-paced environment, able to efficiently manage competing priorities and effectively interact with stakeholders at all levels


Required Knowledge, Skills, and Abilities
  • At least 5 years’ experience as an Executive Assistant at CEO level in a multinational company.
  • Experience working in the financial services industry
  • Demonstrable experience in working with highly sensitive business correspondence, people data and other information with confidentiality and discretion.
  • Relationship building across all levels of the business and with external contacts, vendors and partners.
  • Self-motivated with initiative to track and follow through on all queries and issues to successful completion.
  • Ability to work in a fast-paced, dynamic environment, requiring high levels of flexibility and adaptability, and willing to deal with issues outside of regular business hours if required.
  • Experience of multitasking and prioritizing an ever-changing workload.
  • Ability to work autonomously and take ownership of area of responsibility.
  • Skilled at using the full Microsoft Office suite with a focus on creating and editing PowerPoint presentations and financial graphs.
  • Effective meeting management and coordination.
  • Highly organized with excellent time management and attention to detail.
  • Strong oral and written communication skills.
