Job Description

You will be responsible for diary management and extensive co-ordination of internal and external meetings. In addition, you will be required to communicate across the business at a senior level, both internally with the Board and externally with Non-Executive Directors, suppliers, consultants, investors and analysts and other key contacts.

You will be required to produce high quality, complex presentations, Board packs and other documentation, in addition to pro-actively dealing with incoming correspondence including management of emails. You will also be responsible for making travel arrangements, event organization, meeting set up and attendance in a minute taking capacity as well as compiling, checking and authorizing expenses and invoices.

You will be responsible for providing support to the wider business environment including ad hoc support to Senior Leadership Team and other departments as required. This may include assisting with meeting arrangements, document production and minute taking at weekly team meetings, as well as proactive management of the Executive Support voicemail, calendar, inbox and correspondence. You will also be expected to provide seamless cover when other team members are absent.

Required Knowledge, Skills, and Abilities
  • You will need strong administration skills and to have the ability to work systematically through large volumes of work with minimal supervision.
  • You will have excellent organization and time management skills, with the ability to priorities routine tasks and meet deadlines.
  • You will need strong numerical and verbal skills with the ability to proof reed documents and test them for accuracy and reasoning.
  • You should enjoy communicating with people at all levels, including external customers and senior stakeholders, and have experience of maintain good working relationships.
  • You will need to be able to use your judgment, discretion and tact in dealing with confidential information.
  • You will require a flexible and adaptable approach to ever-changing circumstances that will require you to work independently but also, collaborate with other team members.
  • Excellent written and verbal communication skills
  • Excellent Microsoft PowerPoint, Word, Excel and Outlook skills
  • Producing high quality Board and Committee papers
  • Taking minutes in Committee meetings
