Job Description

They will provide a full reception service, including meeting and greeting all attendees to the clinic reception area, offering a high level of administrative support to the Clinical teams, ensuring the accurate completion of registration details, maintaining computerized records and dealing with queries in a sympathetic and appropriate manner. You will be communicating with Patients and other professionals face to face in the unit and over the phone, so good communication skills are essential. You will be the first person the patients will meet on their arrival, so a friendly positive attitude is important. You will need to be flexible to cover when other team members are on leave, so the smooth running of our service can be maintained. The antenatal team pride themselves on providing high quality care and service to all of our patients. They will provide a full reception service, including meeting and greeting all attendees to the clinic reception area, offering a high level of administrative support to the Clinical teams, ensuring the accurate completion of registration details, maintaining computerized records and dealing with queries in a sympathetic and appropriate manner.

  • To ensure the reception desk and area is kept tidy
  • To ensure that the reception desk is set up daily in preparation for clinics.
  • To accurately receive and check women in and out of clinic using the relevant computer systems
  • Maintain computerized records to ensure all records are complete and up to date
  • To maintain medical records by ensuring that all contents are correctly filed in the appropriate place
  • Take payment for additional scan images as required
  • To undertake routine clerical work and associated tasks
  • Open and distribute post appropriately and in a timely manner
  • Generate hospital numbers for Community Midwives
  • To receive telephone enquiries and deal with them in a prompt, professional manner to ensure accurate information is disseminated to designated parties
  • Rearrange routine clinic/scan appointments as required
  • Update the clinical system with the women’s expected date of delivery
  • To respond quickly to changing situations and priorities workload with a view to resolving problems within limits
  • Deal with enquiries according to Trust protocols and the Data Protection Act, ensuring confidentiality is maintained at all times
  • To arrange transport for women as required
  • To arrange interpreters for appointments as required
  • To prepare notes for consultant clinics to include the printing of labels and referrals
  • To liaise with staff in other departments as required
  • To provide information to medical staff when requested
  • To assist in the training of new members of staff to ensure all staff can carry out their role competently
  • To have a flexible approach to help provide cover for colleagues to ensure that the reception desk has full cover for holidays and sick leave
  • To maintain confidentially and adhere to the Data Protection Act at all times
  • To undertake any other such duties commensurate with the post
  • To be an effective team member, raising any concerns or queries to the attention of the Support Manager and/or Clinic Manager in a timely, manner
