Job Description

We are looking to recruit an experienced Receptionist (or has previous experience of working in a customer service role) who will provide information and assistance to all visitors to the academy and on the telephone. The successful candidate must have a cheery nature, be able to work on their own, make informed decisions and work in a tidy and efficient manner.

The post-holder is responsible in first instance to the Business Manager under the guidance of the Administration and Marketing Officer. The post-holder interacts on a professional level with colleagues and seeks to establish and maintain productive relationships with them; this includes prospective parents, pupils & staff, the local community and the wider public encouraging their engagement with the academy.

To provide an excellent receptionist service to our academy, welcoming visitors and dealing efficiently with their needs whilst maintaining confidentiality where appropriate. You will be confident in dealing with difficult and challenging situations and able to direct and resolve, using your experience and initiative. You will be an efficient administration and able to multitask especially at busy periods of the school day.

  • Processing of incoming and outgoing telephone calls, emails and other forms of communication; providing information and assistance, relaying messages, identification recording.
  • Welcoming and assisting visitors. Maintaining an accurate record of visitors and pupils on site.
  • Acting as an information resource for visitors, pupils and staff; attendance queries, pupil & staff details and general information.
  • Relaying messages to staff via e-mail/telephone as appropriate.
  • Recording changes of pupil personal details on SIMS and relevant databases and inform relevant staff.
  • Relaying messages to parents.
  • Passing on relevant information eg medical notes to relevant staff members such as tutor, first aid and staff.
  • Processing of outgoing mail and incoming deliveries; using couriers as required. Receiving and signing for deliveries, notifying Finance Manager as appropriate.
  • Emergency contact as required; call emergency services. Contact remote areas of site.
  • Managing the selling and replenishment of uniform and processing payments for each item.
  • Work closely with members of the administration team.
