Job Description
  • Lead the management, purchase and shipment of blind samples via online retailers (blind samples are commercial units of dietary supplement products certified across the Informed Certification Programmes.
  • Ensure all purchasing is completed in a timely manner and that testing of blinds occurs in line with programme requirements.
  • Record applicable product information on appropriate internal electronic tracking systems.
  • Manage all receipts from purchases, maintain purchase records and support with company credit card reconciliation.
  • Coordinate with relevant internal teams to receive and ship blinds that are only available in their purchasing territory (for example by using third party shipping companies).
  • Resolve missing orders with online retailers, keeping colleagues informed of any delays, discrepancies or challenges.
  • Lead the resolution of non-compliances relating to blind purchases or Member Reviews, engaging with internal teams and/or customers as necessary.
  • Support other programme compliance activities as required, for example identifying, logging, tracking and resolving non-compliances.

Administrative Processes

  • Perform administrative duties supporting across all Informed Certification Programmes, communicating effectively with colleagues and relevant internal teams to ensure efficiency and integrity (this may also involve communication with customers).
  • Provide data reports to internal teams as necessary to support administration of the Informed Certification Programmes.
  • Ensure full traceability of all records by following group record keeping procedures. Organise and maintain documents within relevant internal databases and network files.

  • Develop a basic understanding of programme acceptance criteria, relevant quality standards and scientific techniques employed.
  • Communicate effectively with relevant internal groups (e.g. Operations, Business Development, Marketing) to support administration of the programmes.
  • Strive for continuous improvement in relevant areas of programme administration, generating and supporting implementation of improvement ideas.
  • Make timely and informed decisions, referring to senior staff where necessary.

Required Knowledge, Skills, and Abilities

  • A levels (or equivalent) in technical, English or mathematics related subjects

  • Good interpersonal communications skills, with the ability to collaborate with a diverse group of individuals across multiple time zones and cultures.
  • Knowledgeable in Word, Excel and databases and ability to learn to use other software
  • Proficient computer skills
  • Commercial awareness (desirable, not essential)
