Job Description

1. Telephones: Answering/channeling telephone calls appropriately, taking messages with adequate detail, passing on messages and information promptly. High degree of confidentiality and discretion to be displayed at all times.

2. Hospitality catering for meetings and visitors: To ensure that all visitors receive a courteous welcome and are offered appropriate refreshments. To ensure that all scheduled meetings are catered for according to requirements, and to clear the meeting room promptly after and between meetings so that it is left tidy at all times. To purchase supplies of beverages and sundries as required, and to ensure that are always adequate supplies maintained in the kitchen

3. Post: To ensure that all post received by the Office is appropriately date stamped, recorded and directed to the correct recipient; and that all outgoing post has the correct postage, and is recorded and mailed at the end of each day. To be responsible for the stamp float and ensure that there is always an adequate supply of stamps for mailing requirements, and that all monies held for this purpose are held securely.

4. Diary Management: To ensure that all diaries held by the Office are maintained as accurately as possible and that all incoming information is entered immediately and with adequate detail. To monitor diary entries and query any possible conflicts or clashes of appointments to the appropriate party(ies). To ensure that the diary is always penciled up least 6 months in advance.

5. Stationery: Responsible for the ordering of stationery and ensuring adequate supplies of stationary are held by the office at all times. Responsible for the tidy and organized maintenance of the stationery cabinet and distribution of stationery to staff.

6. Typing: To assist with any typing as requested by the Office staff, Managers or Senior Managers.

7. Filing: To be responsible for the accurate and timely filing.

8. Photocopying: To carry out any required photocopying.

9. Washing up, emptying Dustbins and general tidying duties: Responsibility for ensuring that bins are emptied and that any outstanding washing up is cleared by the end of each day. To ensure that the offices are always maintained as tidily as possible.

10. General assistance to Office staff, Managers and Senior Managers: To lend assistance office staff, Managers and senior managers when requested.

11. Data entry: To complete data entry as required.

12. Adhere to confidentiality & GDPR regulations as set out in the company policies.
