Job Description
  • First person to handle incoming calls and direct them to the relevant person/department.
  • Meet and greet visitors, sign them into the visitors’ book and let the person who they have come to visit know they are on site.
  • Maintain customer opportunity pipeline
  • Internal customer account ownership.
  • Build relationships with your customers and understand their requirements to ensure excellent levels of customer satisfaction.
  • Take personal accountability and ownership of your customer enquiries and ensuring they receive a speedy and satisfactory response.
  • Deal with complaints from your customer ensuring they receive a speedy and satisfactory response.
  • Ensure the relevant paperwork for complaints is filled out and passed to the senior customer service advisor to be logged on the NCR.
  • Provide weekly updated outstanding order lists to your accounts with comprehensive updates of when their order will be dispatched and advice of any changes to dispatch dates.
  • Provide to your accounts on a bimonthly basis information about stock being held of their behalf with quantities and value.
  • Every morning sends to all customers’ conformation of what was dispatched the previous day and when the goods will likely arrive.
  • Send samples to customers when requested to do so by the account manager or the customer requests a sample themselves.
  • Process your customer orders on the sage system ensuring the sales order processing procedure is followed and the order is loaded correctly on the system.
  • Send order acknowledgments back to your customer within 24 hours of receiving the order and escalate to your manager if you are unable to send the acknowledgment back within the agreed time scale.
  • Ensure selling prices in the Sage system are accurate and up to date and deal with price increases by ensuring the Sage system is updated with the new price.
  • Provide the account manager with customer reports when requested.
  • Daily admin tasks, photo copying, franking post, filing.

Required Knowledge, Skills, and Abilities
  • Can multitask and work well under pressure in a fast-paced environment
  • Can work self-sufficiently and as part of a team
  • Builds effective working relationships with colleagues accorss the organization as well as external customers and suppliers
  • Professional telephone manner
  • Excellent communication skills
  • Familiar with Microsoft Office, Particularly Word, Excel and Outlook and knowledge of Sage 200 would be an advantage
  • Have excellent timekeeping skills
  • Can work under working code and practice and understands GDPR but not essential
  • Previous experience in a similar role would be an advantage
  • The willingness and ability to learn and adapt to change
  • Have professional and confident manner
  • Good organizational skills
  • GCSEs at grades C/4 or above (or equivalent) in English and math
  • Excellent career and training opportunities for the right candidate
  • You will attend West Lancashire College, one day per week
