Job Description

This is an exciting and challenging role within the administration team in which the post holder would have an opportunity to make a direct positive impact on patient experience within the Trust.
Responsible for providing an efficient, high quality secretarial support to one or more consultants and clinical teams within the department under the supervision of a senior medical secretary. This will include ensuring that all daily secretarial tasks are undertaken, assist with the organization of the consultant’s workload, communicating appointments and admission related information to patients/careers in a friendly and reassuring way.
Responsibilities

  • Provide full secretarial support to the consultants and members of their teams with respect to their general medical duties and specialist work
  • Type all clinical letters which may include those of a distressing or emotional nature, as well as discharge summaries or other relevant correspondence and documents as required in line with the Trust targets and local SOPs.
  • Complete general clerical duties including photocopying, filing, collection, opening and distribution of post, faxing, arranging couriers, shredding of confidential information.
  • Be aware of, and to ensure co-ordination of work to meet quality standards with regard to accuracy and deadlines
  • Ensure that all daily tasks and ongoing workloads are prioritized and completed within agreed timeframes
  • Priorities incoming correspondence and ensure it is promptly dealt with the appropriate member of staff
  • Manage the transfer of patient information in line with the Trust policies and procedures for patient records and clinic processes
  • Act as a central point for information and communication for the clinical team
  • Locate, collect and book patient notes in and out of the department as required
  • Assist with induction and on the job training of new and agency members of staff
  • Assist in providing cover for other secretaries in the Directorate to ensure continuity of service to Consultant, medical staff, service users and patients

Required Knowledge, Skills, and Abilities
  • The successful applicant will be mainly responsible for typing clinical letters, processing referrals, post and responding to patient queries via phone and email.
  • The post holder must be IT literate and have the ability to navigate trust IT systems.
  • The role requires the ability to liaise with all disciplines of staff i.e. Directorate Managers, Consultants,Nurses and administrative colleagues.
  • The successful candidate will work well as part of a team, be professional and personable at all times, able to multi-task as well as being able to work under pressure.
  • Candidates must be flexible to the needs of the service, attend meetings as and when necessary and have excellent communication skills.
