Job Description

You will be the first point of contact for all visitors to the academy, staff and students and assist in the management of the reception area as well as providing administrative support in order to contribute to the smooth running of the academy.

We are offering a flexible shift pattern of either 07.30-15.30 or 10.30-18.30 (7.5 hours paid per day) which is to be agreed in advance with the Senior Receptionist and your Line Manager. Please note: From September, Saturday hours are also required (and paid as overtime) 07.30-13.30, 15 Saturdays per year.
Main Areas of Responsibility

  • Ensure visitors are signed in and out of the building and that staff/students are displaying the appropriate lanyard
  • Receive packages/mail to the reception area; distribute mail as appropriate
  • Phone parents regarding non-attendance on the first (and subsequent) days of student absence
  • To assist in the administration and organization of the student attendance system; maintaining daily accurate whole school attendance registers and twice-daily fire registers
  • Process weekly attendance tasks, including running attendance reports; maintaining an accurate attendance and punctuality tracker spreadsheet
  • Answer and direct all calls that come through the switchboard to appropriate departments/staff members
  • Maintain stationary levels for the office
  • Assist Principal and Health and Safety Officer during fire or lockdown drills
  • Complete such clerical duties and administrative tasks as may be reasonably expected
  • To input data and extract reports to the School’s Management Information System in accordance with agreed procedures and to interrogate and update the systems when necessary, including enrolment of new students over summer months
  • Type, collate and distribute papers, including the weekly newsletter to staff and stakeholders
  • Assist First Aid Lead to oversee student medical room and monitor its usage, providing Heads of House with half-termly reports and maintain first aid supplies
  • Assist with the ordering and collection of refreshments for meetings and events
  • Annual collecting and collating of information for mailing lists

Required Knowledge, Skills, and Abilities
  • Qualifications to GCSE Level or equivalent (including BTEC) in Math and English, Grade C or above
  • Proficiency in the use of Microsoft Office packages
  • Proficient in the use of computers and databases
  • Previous experience in an administrative or front office/reception role
  • Demonstrable customer service experience
