Job Description

This role requires a good standard of education and excellent IT skills. Good communication skills, organizational skills and attention to detail are essential, as is the ability to keep track of multiple tasks.

  • Manage the Undergraduate admissions process, including distribution of forms and other application materials, liaising with tutors, other colleges and Departments and student helpers
  • Preparing and dispatch correspondence to candidates at all stages of the admission process
  • Prepare interview timetables, liaising with College colleagues and others.
  • Process evidence of qualifications achieved by offer holders
  • Assess the fee status of undergraduate offer holders and prepare financial declarations for undergraduates, liaising with the Accounts Office where necessary.
  • Maintain records of applicants
  • Deal with enquiries about the undergraduate admissions process, liaising with the Senior Tutor on complex enquiries.
  • Coordinate the preparation and delivery of pre-arrival course and College information to incoming students (including pre-registration forms, summer packs electronically or in paper copy as required)
  • Coordinate the preparation and delivery of student handbooks
  • Collaborate with the Graduate Coordinator and Visiting Students Administrator to ensure that the inductions programmes do not clash.
  • Arrange set up, logistics and materials for undergraduate Registration, including local IT support
  • Other duties as required and as appropriate to the role.

Working hours – 37.5 hours per week (normally between 8.30am and 5pm with 1 hour lunch break). The appointee may need to work longer hours, particularly during the examination period including some Saturdays. Some flexibility is expected to cope with fluctuations in workload and unexpected events.


Required Knowledge, Skills, and Abilities
  • A good standard of Education, at least to A level and preferably degree level.
  • Administrative Experience involving computer-based records, preferably in a related field.
  • High standard of IT literacy including familiarity with Microsoft office, particularly Word & Excel required; some experience of maintaining databases; training will be provide on University specific databases and Outlook email as necessary
  • Good standard of both written and spoken English.
  • Good organizational skills, the ability to priorities and to keep track of multiple tasks
  • Ability to format documents, emails and letters, and to conduct mail merges for both letters and emails
  • Good judgment about when to use initiative and when to consult
  • Ability to deal with pressure and ability to deal with unexpected events
  • Excellent interpersonal skills
  • Excellent communications skills, including both written and spoken English
  • Discretion and the ability to maintain confidentiality
  • The ability to deal effectively with people at all levels
  • The ability to work co-operatively with a helpful ‘can do’ attitude
