Provide a general administrative service to two Assistant Vice President of Customer Service (or other areas) including diary management, meeting co-ordination, off-site meetings, filing, telephone calls and travel.
Organize and manage all external meetings (including travel) and anticipate needs for the meetings, seeking and coordinating information where appropriate.
Organize and coordinate weekly, bi-weekly, monthly meetings with direct reports.
Act as the first filter for Management teams emails / queries and requests for information.
Provide support with large business unit related events such as State of the Company and Team Days.
Assist new starter induction programmes for the Business Area.
Coordinate department HR files and work with the HR Services team to maintain records.
Manage circulation of information and reports internally to the Business are, and where necessary the Executive.
Schedule key dates including birthdays, whereabouts, key meetings and associate reviews.
Build good relationships and liaising with other assistants within TJX Europe, sharing best practice.
Required Knowledge, Skills, and Abilities
Experience of working as a PA, Secretary Project manager in a fast-paced environment.
Tactful, discreet and highly organized.
Comfortable working as part of a team or on your own initiative.
Fluent in English – proven PowerPoint, Word and Excel experience.
Well organized, able to priorities and work with multiple projects at once.
Strong interpersonal skills – relationship building, team workings, influencing skills.
Capable of prioritizing your workload to deadlines without losing your eye for detail – or your sense of humor.
